PERSONAL DATA PROTECTION CLARIFICATION TEXT
As the Data Controller operating in the field of fair and exhibition organization services, CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş., registered with the Istanbul Chamber of Commerce under registration number 427132-5 and located at “Sultan Selim Mahallesi, Yamaç Sokak, No:6, 34415 Kağıthane / ISTANBUL” (MERSIS No: 0211141090000001), places particular importance on the protection and confidentiality of personal data.
With this awareness, we give great importance to the processing, storage, and deletion of personal data belonging to our participants and visitors across all platforms in compliance with the Law No. 6698 on the Protection of Personal Data (“KVKK”), relevant regulations (bylaws, notices, circulars), and binding decisions issued or to be issued by the Personal Data Protection Board. In line with this responsibility, this clarification is issued by CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş., in its capacity as the Data Controller, to fulfill its obligation to inform its business partners, customers, exhibitors, visitors, and all natural or legal persons it communicates with.
PROCESSED PERSONAL DATA AND PURPOSES OF PROCESSING
If you participate in events organized by CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş. or its group companies, your personal data such as your full name, mobile phone number, email address, company name and title, vehicle plate number, and photo/video footage taken during the event will be processed.
This data is processed to ensure the proper organization and execution of the event, handle participation requests, manage entry procedures, provide necessary notifications, collect feedback, communicate with you, and ensure the event is conducted safely and smoothly. It is also processed for physical security, emergency procedures, improving and diversifying our services, enhancing the benefits for exhibitors and visitors, increasing visibility among stakeholders (visitors, press, NGOs, public institutions), developing business collaborations, increasing employee performance and satisfaction, career planning, ensuring occupational safety, conducting quality and standard audits, and fulfilling our legal obligations such as reporting requirements set out by laws and regulations.
Additionally, your photo and video footage may be shared via our internal communication channels, corporate social media accounts, website, and our business partners’ media platforms.
METHOD AND LEGAL BASIS OF PERSONAL DATA COLLECTION
Your personal data, such as name, contact information, job title, and vehicle plate number, is collected electronically and directly from you. Your photo and video data are collected physically and/or digitally during the event through photography and videography.
Your data is processed in accordance with Article 5 of the Law based on the following legal grounds: “processing is necessary for the legitimate interests of the data controller, provided that such interests do not violate the fundamental rights and freedoms of the data subject” and “processing of personal data belonging to the parties of a contract is necessary, provided that it is directly related to the establishment or performance of the contract.”
PARTIES TO WHOM PERSONAL DATA MAY BE TRANSFERRED AND PURPOSES OF TRANSFER
Your personal data processed lawfully by our company may be transferred to domestic and international third parties with whom we cooperate, to fulfill the purposes specified above and in accordance with Articles 8 and 9 of the Law. Your data may also be stored on servers located abroad due to technical or operational requirements.
CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş. may transfer your personal data to domestic/international business partners or affiliates, third parties from whom services are received or to whom support services are provided, IT service providers supporting our data processing activities, auditing firms for compliance with relevant regulations, legally authorized public institutions and organizations upon request, and commercial electronic communication service providers, all in accordance with the provisions of the KVKK.
In case of a request from a legally authorized public authority or judicial body, your personal data may be transferred in compliance with the law. The legal basis for such transfers is the necessity of fulfilling legal obligations or protecting a right.
YOUR RIGHTS REGARDING THE PROTECTION OF PERSONAL DATA
Pursuant to Article 11 of the Law, you, as the data subject, have the right to:
Learn whether your personal data has been processed,
Request information if your data has been processed,
Learn the purpose of processing and whether it is used in accordance with its purpose,
Know the third parties to whom your personal data has been transferred, at home or abroad,
Request correction if your data is incomplete or incorrect,
Request deletion or destruction of your data under applicable legal conditions,
Request that these corrections or deletions be notified to third parties to whom the data has been transferred,
Object to any outcome to your detriment that arises from the analysis of your data exclusively through automated systems,
Request compensation for damages incurred due to unlawful processing of your personal data.
You may submit your requests regarding these rights to the Human Resources Department of CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş. at Sultan Selim Mahallesi, Yamaç Sokak, No:6, Kağıthane / Istanbul, or via email to info@cngexpo.com, using secure electronic signature, mobile signature, or registered email (KEP).
Your application must include your full name, signature (if written), Turkish ID number (for foreign nationals: nationality and passport number or foreign ID number), mailing address, email address (if applicable), telephone number, and the subject of your request. Depending on the nature of your request, it will be concluded free of charge as soon as possible and within a maximum of thirty (30) days. However, if the process incurs additional costs, a fee may be charged according to the tariff set by the Personal Data Protection Board.
CNG FUARCILIK VE TANITIM HİZMETLERİ A.Ş. reserves the right to amend this clarification text in accordance with legal changes or Board decisions. Any updates will become effective as of the date of notification.
